Proposal Coordinator
(Vancouver)

We are looking for a Proposal Coordinator to work with our marketing and business development team.

You are: 

  • A self-starter and, in conjunction with management, able to action new proposal opportunities and develop proposal content
  • Able to manage and coordinate with our graphic designer & website team to update website and promotional material
  • A creative and innovative individual who embraces the opportunity for creative thinking with few rigid constraints/precedents on marketing style

Primary Duties: 

  • Coordinate and prepare proposals under the direction of the principals and marketing manager including
    • Coordinate, schedule, and organize Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Expressions of Interest
    • Identify structural scopes, fee requirements and other pertinent issues within the RFPs
    • Prepare proposal in InDesign or Word for review by the principal/associate in charge
    • Coordinate with the principal/associate in charge to establish fees
    • Proactively track and coordinate open proposals to ensure completeness and on-time delivery
  • Setup, input, audit, and manage proposal data in our project management platform
  • Coordinate with the marketing manager and graphic designer to update and create proposal visuals
  • Coordinate and manage company’s marketing digital asset library including:
    • Copy and files for various marketing touch points (website, Instagram, proposals, etc)
    • Proposal content
    • Images and graphics
    • CV’s for all employees

Secondary Duties: 

  • Occasionally coordinate social media and website content under the direction of the principals/associates and marketing manager, including:
    • Instagram and Linkedin
    • News stories
    • Completed and in-progress projects
    • Marketing touchpoints including promo cutsheets
    • Power point presentations
    • Other marketing approaches
    • Coordinate other marketing touch point documents as needed
  • Perform related marketing duties from time to time to assure a smooth operation within the organization
  • Minimum 2-3 years in similar role
  • A degree/diploma in marketing, communications, or relevant field
  • A working knowledge and ability to use Microsoft Office, Adobe InDesign and other Adobe creative tools
  • Strong communication skills, both written and verbal
  • Exceptional attention to detail
  • Previous experience or familiarity with AEC industry or Professional Services
  • Working knowledge of Photoshop and Wordpress
  • Working knowledge of Content Management Systems
  • Experience coordinating photoshoots for canine team members

Junior Bookkeeper
(Vancouver)

We are looking for a Junior Bookkeeper to work with our finance and project accounting team.

Primary Duties: 

  • Prepare and send invoices under the supervision of principals/managers
    • Coordinate, schedule, and organize Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Expressions of Interest
    • Identify structural scopes, fee requirements and other pertinent issues within the RFPs
    • Prepare proposal in InDesign or Word for review by the principal/associate in charge
    • Coordinate with the principal/associate in charge to establish fees
    • Proactively track and coordinate open proposals to ensure completeness and on-time delivery
  • Input and allocate expenses, reimbursables and other Accounts Payable
  • Monitor due dates for Accounts Payable, make payments at the direction of managers
  • Prepare Accounts Receivable report monthly, send reminders to clients at direction of principals
  • Provide support for the accounting team, including filing accounts payable and documenting expenses
  • Reconcile bank and visa accounts monthly
  • Help prepare, review, and edit documents, reports and correspondence for format, content, and grammar. Proofreading and document creation/formatting
  • Prepare correspondence, minutes, spreadsheets, reports, and presentations using MS Office software and our internal knowledge-base software
  • Provide superior customer service to internal/external community partners

Secondary Duties: 

  • Assist with general office administration including answering phones, filing, photocopying/scanning, dealing with mail, e-mail and couriers
  • Assist with maintaining office supplies, equipment and ordering services when others are away
  • Perform such other duties as may from time to time be required to assure a smooth operation within the organization
  • Relevant post-secondary education and/or equivalent experience and training i.e. college program in office administration/bookkeeping (1 or 2 years)
  • Minimum 2 years’ work experience
  • Good general understanding of accounting principles
  • Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule, the ability to make clear, timely decisions; set goals, create/implement action plans and monitor progress toward goals
  • An extraordinary ability to multi-task
  • Superior computer skills – MS Office Suite applications – minimum of intermediate level for Outlook, Word, Excel, PowerPoint, Internet.
  • Must work cooperatively and effectively with others to set goals, resolve problems and make decisions to enhance organizational effectiveness: ability to undertake self-directed tasks when necessary
  • Excellent interpersonal communication and customer service skills (verbal and written)
  • Results focused, business acumen, relationship building, courage and improvement focus
  • Able to stay calm in a fast-paced environment
  • Proficient writing and communication and proofreading skills
  • Experience or familiarity with AEC industry or Professional Services
